Key Responsibilities

Appointment & Calendar Coordination

  • Schedule showings, listing appointments, consultations, and meetings

  • Coordinate calendars across agents, clients, and third parties

  • Send confirmations, reminders, and follow-up communications

  • Handle reschedules, cancellations, and scheduling conflicts efficiently


Communication & Coordination

  • Maintain clear communication with clients, agents, and vendors

  • Ensure all parties are informed of schedule updates and appointment details

  • Monitor daily schedules to prevent overlaps and missed meetings


Administrative Support

  • Maintain organized scheduling records and appointment logs

  • Support agents with daily coordination and workflow management

  • Assist with light administrative and operational tasks as needed


Required Qualifications

  • Strong organizational and time management skills

  • Excellent written and verbal communication

  • Ability to multitask in a fast-paced environment

  • Experience with calendar management and scheduling tools

  • Reliable internet connection and remote work setup


Preferred Qualifications

  • Previous experience supporting a real estate agent or brokerage

  • Familiarity with real estate workflows, showings, and client coordination

  • Experience using Google Calendar, Calendly, Follow Up Boss, or similar CRM systems

  • Strong attention to detail and ability to prioritize urgent requests

  • Comfortable handling high appointment volume with professionalism
