Key Responsibilities
Appointment & Calendar Coordination
Schedule showings, listing appointments, consultations, and meetings
Coordinate calendars across agents, clients, and third parties
Send confirmations, reminders, and follow-up communications
Handle reschedules, cancellations, and scheduling conflicts efficiently
Communication & Coordination
Maintain clear communication with clients, agents, and vendors
Ensure all parties are informed of schedule updates and appointment details
Monitor daily schedules to prevent overlaps and missed meetings
Administrative Support
Maintain organized scheduling records and appointment logs
Support agents with daily coordination and workflow management
Assist with light administrative and operational tasks as needed
Required Qualifications
Strong organizational and time management skills
Excellent written and verbal communication
Ability to multitask in a fast-paced environment
Experience with calendar management and scheduling tools
Reliable internet connection and remote work setup
Preferred Qualifications
Previous experience supporting a real estate agent or brokerage
Familiarity with real estate workflows, showings, and client coordination
Experience using Google Calendar, Calendly, Follow Up Boss, or similar CRM systems
Strong attention to detail and ability to prioritize urgent requests
Comfortable handling high appointment volume with professionalism
Proactive mindset with strong problem-solving and follow-through skills
