We are hiring a Transaction Coordinator to help keep real estate deals moving efficiently behind the scenes. In this role, you will oversee timelines, coordinate communication between all parties, manage critical documentation, and ensure every transaction progresses smoothly from accepted offer to closing day.
Job Description
Key Responsibilities
Transaction Coordination
Manage transactions from executed contract through closing
Track deadlines, contingencies, and compliance requirements
Coordinate inspections, appraisals, walkthroughs, and closing schedules
Ensure all documents are complete, accurate, and submitted on time
Communication & Follow-Up
Communicate with agents, buyers, sellers, lenders, title, and vendors
Follow up on missing documents, signatures, and outstanding requirements
Provide regular transaction updates to all involved parties
Maintain organized communication throughout the transaction process
Administrative & Compliance Support
Organize transaction files and maintain accurate records
Ensure compliance with brokerage and transaction requirements
Monitor transaction progress and identify potential delays early
Support smooth closings through proactive coordination and organization
Required Qualifications
Strong organizational and multitasking skills
Excellent written and verbal communication
Ability to manage deadlines and fast-moving transactions
Detail-oriented with strong follow-through and accuracy
Reliable internet connection and remote work setup
Preferred Qualifications
Previous experience supporting a real estate agent or brokerage
Familiarity with real estate contracts, timelines, and transaction workflows
Experience using DocuSign, Google Workspace, CRM systems, and transaction platforms
Strong understanding of compliance, document management, and closing coordination
Ability to manage multiple active transactions simultaneously
Proactive mindset with strong problem-solving and communication skills
